Timeline for Tour Organisers
We at Southern Skies Events can appreciate how daunting a task it can be contemplating organising an overseas sports tour for one or multiple teams. We have devised a bit of a timeline for those of you wishing to plan ahead and make the job as easy as possible for youselves. Of course dates will vary depending on how far ahead you wish to plan ... some teams start organising their tours years in advance, others only months ... it's all up to you.
One year prior or later
Contact us for further information on the event. You will be provided witha full information package including costings on the all-inclusive travellers land package.
Any time prior to the tournament
Contact us to confirm your teams registration in the upcoming event. The earlier you let us know, we can ensure you receive all your information in a timely manner and it helps with our planning too!
Organise how much fundraising your team will need to complete in order to attend the event, and set in place a detailed plan to reach your funding and sponsorship goals. Get all the players involved ... it will really add to their Southern Skies experience and mean so much more to them.
February onwards
We will send out the Team Registration Packages to the Tour Organiser. This contains additional information on the event, and forms for return.
Start thinking about any visas your team members may need to apply for. Especially those wishing to apply for the Special Class 421 Sporting Visa ... these do take time to be processed by the Australian Department of Immigration, so don't leave it to the last minute.
Wednesday 1st April, 2009 or 14 days after team registration (whichever is later)
Payment due for Team registration fee plus $100 per person deposit for all-inclusive travellers packages to secure your place in the Tournament.
May and June prior to event
Remember to return all your forms from the Team Registration Package to Southern Skies to ensure that everything is ready for your team's arrival in July.
Please confirm your travelling party numbers (with breakdowns of female and male players in each team, and adults accompanying those respective teams). We need these details for our accommodation allocations, lunches at each venue, number of people on buses, etc. We understand that changes occur right up until travel day, so please keep us informed of any changes as they occur.
Friday 5th June, 2009
Final payments must be made by this date.
Two weeks prior to the event
We will email Tour Organisers the competition draws once they are finalised as well as the accommodation allocations. We will send you a detailed information package about your respective accommodation venue so you can be fully prepared prior to arrival ... room configurations, laundry and other on-site facilities, maps, things to do in the area, public transport timetables for your free time, etc.
